Formula and worked example
Book stock = opening + deliveries + returns − dispensed − other removals
10,000 L opening + 5,000 L received − 4,200 L dispensed = 10,800 L book stock. A closing measurement of 10,790 L gives a −10 L variance. This needs investigation; it does not prove theft.

How to use the worksheet
- Use matching opening and closing times for the tank, deliveries and all nozzles supplied by it.
- Record opening volume and documented receipts. Convert dip height using the calibration chart for that specific tank.
- Add up fuel dispensed and other removals without counting a transfer or return twice.
- Compare measured closing stock with book stock. Check readings, deliveries, units and measurement conditions, then record the explanation and follow-up.

Scope and limits
Use litres on a consistent temperature basis throughout. This tool does not convert dip height to volume, compensate for temperature or detect leaks. It sets no universal acceptable loss threshold. Follow local safety procedures for measurements and incidents.
Practical questions
Does a negative variance always mean a leak?
No. Misaligned reporting periods, delivery records, measurement, calibration or temperature can contribute. Suspected leaks require the site’s safety response without waiting for a calculator diagnosis.
Can I combine tanks?
Complete a sheet per tank and grade first. Record internal transfers on both sides before consolidating.
