Understand tank levels and record measurements

Book stock is the quantity calculated from recorded movements. Measured stock is a physical observation. A tank’s capacity is a third, different value. Compare the same tank, fuel grade and time period before interpreting a difference.

Before you begin

Know the tank, its calibrated volume reference and the measurement time. The measurement form expects litres, not a dip height.

1Read the stock workspace

  1. Open Stock and identify the station and tank. Read current book volume, capacity and any low-stock warning.
  2. Review the delivery history and relevant shifts. A missing delivery or unclosed/unsynchronized shift can explain why the record is incomplete.
  3. Use the measurement page for a physical observation rather than editing capacity or recording a fake delivery.

You distinguish the stock balance from the tank’s size and physical observation.

2Record a tank measurement

  1. Open Tank measurements, select the station and the correct tank.
  2. Obtain the observed volume using the approved site procedure. If you measured a height, convert it with that tank’s calibration chart before entering litres.
  3. Enter the observed volume and save. Read the measured/book difference returned for that tank.
  4. Investigate timing, deliveries, nozzle mapping and measurement conditions. If an accounting adjustment is justified, submit it through Stock valuation with evidence and approval.
What you should see

A physical measurement is recorded without silently treating it as a new fuel delivery.

A practical example

Book stock 10,800 L and measured stock 10,790 L give a -10 L variance. The calculation identifies a difference; it does not determine theft, leakage or an acceptable-loss threshold.

If something goes wrong

I only have a dip in centimetres

Do not enter centimetres in a litre field. Obtain the tank-specific calibration table.

A leak is suspected

Follow the site’s incident and safety procedure immediately. Do not wait for software reconciliation to establish a diagnosis.
