Generate reports and export usable files

Reports summarize selected operational records over a defined period. An export is only meaningful when its scope, dates, unit and completeness are understood. The available report types and PDF entitlement depend on the account.

Who this is for

Owners, managers and accountants with report permission.

Before you begin

Choose the question to answer, the station/scope and start/end dates. Allow pending operations to synchronize first.

1Generate and download a report

  1. Open Reports and choose a date preset or explicit start/end dates. Check the permitted window for the report type.
  2. Select the report that matches the question: shifts, revenue, credit/aging, expenses, station summaries/comparison or profit/loss where offered.
  3. Choose the station or other scope required. Read any completeness or valuation warning before exporting.
  4. Use Export CSV for data analysis, or Export PDF where enabled. Wait for completion, then open the downloaded file and verify title, dates, units and totals.
  5. Store or share the file only with people entitled to those business records. A download does not remove the original data from FuelOps.
What you should see

The report is a verified snapshot of the selected period and scope.

2Interpret and reconcile the report

  1. Compare totals to the corresponding module with matching filters and statuses. Sales, receipts, repayments and internal transfers are not interchangeable.
  2. For profit/loss, resolve missing opening inventory and acquisition costs before interpreting margin. Missing valuation is not zero cost.
  3. If a date window is too large, split it into supported adjacent periods, keeping clear boundaries and avoiding overlap.
  4. Custom report templates are currently unavailable on the managed service; upgrading does not make that disabled screen usable. Use the supported built-in exports.
What you should see

The report supports a business decision without hiding missing data.

A practical example

Compare a September station report with September records for the same station. A “last 30 days” card ending today is a different period.

If something goes wrong

PDF is disabled

Check the report entitlement and explanation. CSV may still be available; ask the owner to review the offer.

An export fails

Check range, permission, connection and valuation warnings. Keep the error and selected filters for support instead of assuming an empty result means zero activity.
