Create credit clients and set their limits

A credit client is a person or business allowed to owe money for fuel. A credit limit controls exposure; payment terms determine when debt is due. An advance balance and unpaid debt are different balances.

Managers authorized to create/manage clients; accountants and other authorized users review financial details.

Before you begin

Agree the client identity, station, limit and terms before offering credit.

1Create the client

  1. Open Credit and Add client. Choose individual or enterprise and enter the client name, contact and station assignment.
  2. Set the credit limit and payment terms in the form’s displayed unit. Add address/email where needed for identification.
  3. Review and save. Open the client record to check balance, status and available credit before a first sale.
What you should see

The client has an identifiable account and an agreed credit policy.

2Maintain the policy

  1. Open the client and choose Edit when authorized. Review the limit, unlimited-credit option and limit-action settings exposed for your role.
  2. Choose block, alert or approval behavior according to the actual agreement. An unlimited setting is a deliberate risk decision, not a workaround for a failed sale.
  3. Review overdue and outstanding balances regularly. Follow the available status/suspension action and communicate restrictions to the station team.
  4. Before reducing a limit, inspect current debt. Changing terms or limits does not erase old sales or create a repayment.
What you should see

The credit policy stays aligned with the commercial agreement.

A practical example

A client with a 200,000 FCFA limit and 150,000 outstanding has 50,000 remaining before considering the configured policy and any valid advance. A proposed 80,000 sale needs the system’s live authorization decision.

If something goes wrong

Two clients have similar names

Check contact, station and history. Do not record a payment against a name alone.

The account is blocked or overdue

Ask the authorized manager to review the real situation. Do not create a duplicate client to bypass the restriction.
