How to close a fuel station's cash shift without losing the trail.

A useful close answers three questions: what was sold, what was collected and what was handed over? Adapt this method to your procedures, whether you use a register or FuelOps.

1. Check readings and sales first

Identify the shift, person and equipment. Gather opening and closing readings, units, applied prices and unusual events. Verify that both readings cover the same equipment and period. A replaced or reset counter requires a specific procedure; do not force a simple subtraction.

Once volumes are validated, calculate expected sales by product and price. If prices changed, retain the detail needed for the calculation. A site-wide total without product and equipment detail may hide an entry error. In FuelOps, shift readings and records provide a starting point for verification.

2. Classify payment types before comparing cash

Separate cash, credit sales and other payment methods. A credit sale belongs in sales but not in physical cash. Payment of an older debt is a collection without being a new shift sale. Distinguishing these categories prevents a classification difference from looking like missing money.

Count cash according to your procedure and compare it with the corresponding expected amount. Check credit and evidence for other collections. Record any difference and explanations received. Do not change a meter reading simply to remove a financial discrepancy.

3. Separate closing from handover

Closing records the shift's result. Handover follows money passed to the next person. Record who gives it, who receives it, how much and when, in line with your process. Receipt should remain verifiable when the manager arrives after the shift ends.

4. Keep what the next review needs

Retain references and explanations needed to revisit a close. In weekly reviews, investigate recurring differences in context instead of automatically assigning fault. Consider readings, prices, payment classification and pending handovers as possible explanations.

Credit changes expected cash

Simplified example: 960,000 FCFA in sales including 15,000 FCFA on credit leaves 945,000 FCFA in immediate collections, with no other adjustments. If all immediate collections are cash, 945,000 FCFA in the till is consistent. The same sales entirely in cash would imply a 15,000 FCFA shortage. Classification explains the difference.

Common questions

What if the meter changed?

Use the equipment's replacement or reset procedure and preserve required readings and references. Do not blindly subtract opening from closing.

Must the manager be present to close?

Follow internal procedures and application permissions. Shift closing and receipt of handed-over cash are separate steps.
